Enlivy

FOR COURSE AUTHORS, MENTORS AND COACHES

You have outgrown Sheets, WhatsApp and manually sent invoices.

Enlivy is the system for experts who sell courses: each client's contract, invoice, payment and installments, connected in one place.

01 SOUND FAMILIAR?

Your business grew. The systems you started with did not.

You built an audience, you launched online programs, you have clients paying €500 to €1,000 and up per seat. And behind the scenes it looks like this:

You lose 8 to 15 hours a week juggling WhatsApp, Sheets, an invoicing app, Stripe and Drive. You do not know in real time who has paid, whose installment is due today, who has signed the contract, who was sent which invoice. You sold a 6-month program in 3 installments, and now you search five places to work out who still owes what.

A client once wrote to you, asking for the invoice you forgot to send. The kind of moment you do not want to repeat. Your assistant asks ten times a day "who do I invoice?", "where is X's contract?", "did the payment for installment 3 come in?".

You sell premium, but the client gets the payment link on WhatsApp, the contract by email and the invoice from a third app. Three sources for a single sale, none of which knows about the others. Month-end becomes three days of archaeology through files for the accountant.

You have woken up at 3 a.m. with the thought "I forgot to...". And you could not leave for two weeks of holiday without everything stopping.

I earn better than ever. I also have less time and more stress than ever.

We know the feeling. You are not disorganized; you are just the only integration between six apps that do not talk to each other. You do not need another tool. You need everything that happens in your business to fit in one place.

02 IMAGINE

What one of your days could look like

You are on your second coffee. You open Enlivy.

Two payments came in overnight: installment 2 from a mentoring client and a new order for the course. Both have invoices issued and filed, e-invoicing included. Good.

The third expected payment did not arrive; the client's card was declined. You see the notification right in the dashboard. You note to write to them personally after lunch, calmly, not in two weeks when you would have noticed by accident.

The babysitter calls in sick. You reshuffle the day in your head: who picks up your child at 4, whether the 11 o'clock call has to move.

Still, at 11 you have a call with a prospect. At the end you send the offer with one click, straight from the dashboard. At 12 a Slack notification: "Offer accepted. First installment collected. Contract signed." You did nothing manual for the €1,800 invoice that just landed.

You have lunch, a little tired, but not from the admin.

In the evening your assistant writes: "handled the partial refund for client X, followed the playbook." You thank them, put the phone down, and take your child to the park.

A quiet morning at the second coffee, with the Enlivy dashboard open on a laptop.

That is the difference between a creator who improvises and a business that runs organized.

03 THE SOLUTION

One flow, from prospect to enrolled client

You open one dashboard in the morning. You see everything.

The Enlivy dashboard: overnight payments, installments due and contracts waiting for signature, on one screen.

Who paid overnight, whose installment is due today, which contracts wait for a signature, which invoices are overdue. Without asking your assistant and without opening six tabs. Here is the flow behind it:

  1. Prospect. Every lead from DMs, forms or webinars lands in a pipeline visible to you and your closer. No more leads lost in conversations and forgotten spreadsheets.

  2. Proposal. You send the offer as a single link. The client sees it, accepts it and pays on the spot.

  3. Contract. The accepted offer becomes a signed contract, with version history and amendments. When something changes, you open it in the same place.

  4. Invoice + e-invoicing. The invoice is issued straight from Enlivy, with your own numbering and series, VAT handled for EU and non-EU clients. Where e-invoicing applies, it is filed automatically: PEPPOL across the EU, ANAF eFactura in Romania.

  5. Payment. The client's card is charged automatically. Every payment is matched to the invoice it settles and the client who paid.

  6. Installments and subscriptions. For programs paid in installments or a membership on subscription, recurring payments charge the card at every due date and issue the matching invoice.

  7. Reconciliation. You match the first payment to its invoice in a minute. From there, installments and recurring payments stay linked on their own.

04 RESULTS

Three shifts you feel in the first month

Installments and subscriptions tracked automatically.

Today, installments live in a spreadsheet and in your memory. In month three you miss a follow-up and lose €600 without noticing.

With Enlivy, the card is charged at the due date, and you see in real time who is current and who is behind. You recover the money that used to disappear in silence.

A sales flow that looks as premium as the price.

Today, the client gets the payment link on WhatsApp, the contract as a PDF by email and the invoice separately, from a third app.

With Enlivy, the proposal is signed and paid through a single link, and the invoice files itself. The client gets one coherent experience, at the level of your program's price. You are no longer embarrassed to show what is under the hood, not to VIP clients and not to B2B partners.

Month-end from a single press of a button.

Today, closing the month means three days of digging through the invoicing app, the bank, email and Drive, then a folder of 200 files sent to the accountant.

With Enlivy, the reports are ready, bank transactions are reconciled against invoices, and the accountant receives a clean export. The first month takes longer, because you set up your templates and import your history. From the second one on, you close the month in an hour, not in three days.

WHAT YOU ACTUALLY GET

20+ connected modules. These are the ones that matter most for your business model.

WHEN YOU WANT MORE

Add module by module, at your own pace.

REPLACE. CONNECT.

Drop what you no longer need. Keep what matters.

What Enlivy replaces:

  • FreshBooks Wave or whichever app only does the invoice.

In Enlivy you issue invoices directly, with your own numbering and series, and they are born connected to the rest of the system: the signed contract, the program bought, the installment plan, the payment that came in. The invoice stops being an isolated document in a separate app and becomes a piece of the full client relationship. One subscription less, the same compliance, and your accountant keeps their ledger.

  • Google Sheets for pipeline, payments, installments, the team.

A spreadsheet needs someone to update it by hand, and the rest of the team to assume it is current. With manual edits you can always have wrong numbers and steer decisions by wrong data. In Enlivy, the dashboard updates itself when a payment arrives, a contract is signed, an invoice is issued. There is no more "when was the last update?".

  • Google Drive Notion for contracts, procedures, guides.

In Drive or Notion, a document is a lonely file in a folder. In Enlivy, the contract is linked to its client, the invoice to its contract, and the procedure written in Playbooks sits next to the rest of the company's operations. You stop hunting for context; it is already there.

  • WhatsApp the groups with your assistant about "who do I invoice?".

In Playbooks you write the company's procedures once: invoicing, onboarding, follow-up, and any other repetitive work in the team. Every procedure lands in one organized place. Your assistant follows them without asking.

FROM CHAOS TO CLARITY IN 4 STEPS

  1. Connect what you already have.

Bank account, Stripe, clients, contracts, this period's invoices. The new flow starts immediately, and you import the history whenever you want. You do not have to move everything on day one, and you lose nothing you have.

  2. Build your flow once.

You create your own contract templates for every product that needs one, your invoice format with your numbering and series, your installment plan. Existing plans are cloned for each new client with the same structure. Once set, they run for months without intervention.

  3. Delegate with procedures, not daily questions.

You invite your assistant, closer and accountant with their own access role (each sees only what they need). In Playbooks you write your company's procedures once. The team stops having daily questions for you, and you stop being the only source of truth.

  4. Grow without adding chaos.

The next launch with 100 new clients no longer means 14-hour days of firefighting. The system keeps pace with the volume.

WHO ENLIVY IS FOR

For you, if:

  • You sell programs, live or cohort courses, mentoring, coaching or premium consulting (above €500 per seat).
  • You close sales through calls or conversations, not only through an automated checkout.
  • You have installment payments, cohort programs or a membership on subscription.
  • You have a small team, or you are starting to build one.
  • You already run 4 to 6 separate tools and feel they no longer hold together.

Not yet for you, if:

  • You only sell a cheap evergreen course, at small volumes, with no contracts and no installments.
  • You are at your first sale and the chaos behind the scenes has not accumulated yet.

When you expand into new markets, the account stays the same.

Enlivy stores six languages, knows the tax rules for 41 countries, and files EU e-invoices through PEPPOL, plus ANAF eFactura in Romania.

FREQUENTLY ASKED QUESTIONS

How long before it is actually running?

You can issue your first invoice on day one. The part that takes real thought is your contract template and your installment plan, and that is a couple of hours once, not a migration. Your existing history can come across whenever you feel like it; the new flow starts with the next client you close, not with a weekend of data entry.

I already have an invoicing tool. Why change?

Do not change it for invoicing. Change it when the invoice stops being the problem. An invoicing tool gives you a compliant document in its own app; it does not know which program the client bought, whether they signed, which installment is due on Thursday, or that their card failed last night. That is the part costing you the hours, and it is the part that lives here.

I have Stripe. Is that not enough for payments?

Stripe is how the card gets charged, and Enlivy uses it for exactly that. What Stripe does not do is decide who should be charged, on what schedule, against which signed agreement, and then issue the invoice that payment settles. A payment processor collects money. It does not run a billing schedule against a contract.

Is this too technical for me?

The setup is templates and a payment schedule, not configuration. If you can build a course curriculum you can build a contract template. The genuinely technical surface, the API, webhooks, MCP, is optional and sits behind a separate pack you do not have to think about.

I have bought tools I never used. Why would this be different?

Because you start with one pack and one problem. There is no large bundle to commit to and nothing to unlock later. If the installments pack alone recovers one missed payment it has paid for a year of itself, and if it does not earn its place you turn it off.

What happens to my data if I leave?

It comes with you. Invoices, contracts, clients and payments export as structured files, and the Data Export pack gives you the whole account rather than a screen at a time. Nothing here is designed to make leaving expensive.

The team behind this solution

Enlivy has been built by a small team in Romania since 2021.

We are not a giant suite where a course business is an afterthought.

We are people who know what a compliant invoice looks like, how an amendment gets signed, and what it is like to sell with Stripe and collect into a real bank account.
