Supplier Invoices

Record supplier invoices from the PDF, without typing them

Drop a supplier's PDF on your dashboard. Enlivy reads it and opens the invoice filled in, with the supplier, the tax and the payment it found. You check it and save.

SUPPLIER INVOICES

Check the invoice instead of typing it

Enlivy reads the supplier's PDF and fills in the form. You check the figures and save.

Drop the PDF on your dashboard and click Enhance with AI. Enlivy reads the text and opens the Add Invoice form with the date, the lines, the totals and the currency the supplier printed.

Before the form opens, Enlivy checks your records: an invoice you already filed, the supplier, and a payment already in your bank transactions. The reading runs on your organization's own OpenAI or Anthropic key.

  • The supplier, from its VAT number

A supplier you do not have yet shows its name and VAT number, marked "Not in your records yet". Select "Create with 1 click" to add it.

  • No invoice filed twice

An invoice already in your records is stopped, with a link to the filed copy. One that looks like it may be there already is flagged for you to check.

  • The payment, linked

When the bank transaction that paid the invoice is already in your records, Enlivy offers to connect the two.

  • Your tax classes

Enlivy sets a tax class from your own list only when it is certain. Otherwise it offers the likely ones and you choose.

  • Any currency

An invoice in a currency you have not used before adds that currency to your organization. You can remove it in the settings.

From the supplier's PDF to a saved invoice

Drop the file, let Enlivy read it, check the form and save.

  1. Drop the PDF on your dashboard

Add the Drop a document widget to your dashboard, then drop the supplier’s PDF on it. You can drop several files at once.

While Enlivy reads it, the file stays in your browser and only its text is sent. The file is attached when you save.

  2. Click Enhance with AI

Enlivy works out what the document is and suggests where it belongs: an invoice, a receipt, a contract or your files. Each suggestion shows how sure Enlivy is and why.

Without an AI key, the widget still says what each file is and offers the usual places to file it.

  3. Check the invoice it filled in

The Add Invoice form opens with the direction already set: “The invoice is issued by someone else, to us.” Check the supplier, the dates, the lines and the totals against the PDF.

When a figure does not match the document, the form says so before you save.

  4. Choose how to record it, and save

Pick one of two ways, and Enlivy marks the one it recommends for this document:

    • Without line items: the totals and the tax as one summary. Enough when the whole invoice is taxed one way, or charges no tax.
    • With line items: each line under its own tax class. Needed when the invoice mixes tax treatments.

TAX

The tax is set from your tax classes, or left for you to choose

Enlivy reads the tax the supplier charged and compares it with your own tax classes. It sets a class only when it is certain, and offers the others with how likely each one is.

  • Your classes first

The suggestions come from the tax classes your organization uses. When none fits, Enlivy proposes a new class, and you decide.

  • Foreign tax stays out

Tax charged under another country's rules is not set as yours. You decide how to record it.

  • No tax, recorded by its totals

An invoice that charges no tax is described fully by its totals, so Enlivy recommends recording it without line items.

THE PAYMENT

Connect the invoice to the bank transaction that paid it

When you drop the PDF, Enlivy looks for the payment among your bank transactions. It matches on the amount and the references the invoice prints. When the match is clear, you record it in one step.

  • Matched by the figures

The match comes from the amounts and references, checked in your records. You see the transaction before you confirm.

  • Never more than was paid

Enlivy records no more of a transaction than it has left, so one payment is not counted twice.

  • Link it later

A supplier invoice you record by hand can be linked to its bank transaction at any time.

OTHER WAYS IN

Record a supplier invoice by hand, or receive it as an e-invoice

The PDF is the fastest way, but not the only one. Every supplier invoice ends up in the same list as the invoices you send.

  • By hand

In Invoices, click Add Invoice, choose External Invoices and set the direction to the one issued to you. Attach the supplier's file to it.

  • As an e-invoice

Where Enlivy connects to the national e-invoice system, the e-invoices your suppliers send there arrive in Enlivy.

  • Paid and owed, on your dashboard

Add the Invoice Analytics widget for the invoices you receive to see what you paid suppliers and what you still owe them.
